Hirebase

Eliminate Phantom Stops & Route Fraud.
Verified Telemetry for Every Mile.

Couriers, field techs, and delivery drivers work unsupervised across dozens of daily stops. Hirebase replaces honor-system timecards with configurable site boundary geofencing, mobile AI biometrics, and automated route reconciliation.

Nobody rides along to confirm the route was actually driven.

A driver or courier is out of sight for the whole shift, moving between stops that only they can confirm. When a delivery is disputed, or a stop gets skipped, an operator is left asking a driver to recall a day that already ended. That is not a record, it is a recollection, and a self-reported checklist does not settle the question of where someone actually was.

Hirebase closes that gap at the point of work: every stop is its own geofenced address, every arrival requires a live photo, and nothing reaches the field until a dispatcher has published it. Route adherence itself is tracked on a separate record, a Route List that holds every stop for a courier's day with a full timestamped activity record, real evidence that route-level tracking already exists in the product beyond the driver-facing punch.

punch-in and punch-out differ

Every stop is its own boundary, drawn by an admin.

A route is not one wide zone a driver has to stay inside. An admin searches the job address for each stop on a map and sets a circular boundary radius for that address specifically, so a residential drop-off and a commercial dock get configured differently, by the people who scheduled the stop.

The driver's app shows live distance from the boundary center against the allowed radius, in real time, and out-of-geofence punches are flagged for review.

A live photo, required before the punch unlocks.

The same check sequence that runs every punch on Hirebase runs at every stop on a route: geofence check, a live photo checked with liveness detection and anti-spoofing, and a short safety Q&A, with punch-in and punch-out reviewing different question sets. Arrival at a stop is backed by evidence captured in the moment, not typed in after the route ended.

The punch button stays disabled until a live photo is taken, so there is no way to log an arrival without it.

One record per driver per day, every stop logged.

A driver or field rep does not get a new record for every stop. Route List holds one record per rep per date, and stops get added to it as a dynamically-editable "Pipeline" list, each one tracked independently for status, whether it was visited, a contact number and a visit time. A route that changes mid-shift, a stop added, a stop moved, is an edit to the same record, not a new one.

Users Tracking gives a live map view of where a rep is and what stops remain, alongside the Route List record itself.

A single punch session seamlessly tracks multiple job-site check-ins, accurately computing distance and travel duration between delivery stops for verifiable shift audits.

One record, a full day of edits, all timestamped.

A rep's Route List record can carry multiple stops added and edited over the course of a single day. Every change to every stop, who added it, who updated it and when, is captured in a timestamped Status Log on that same record, not reconstructed afterward from memory.

The activity record is per-stop, not just per-record: a question about one stop on a nine-stop day is answered without pulling in the other eight.

Route adherence is the same publish discipline as scheduling: a route stays in Draft while it is being built, and only reaches the driver once it is explicitly published.

Logistics & delivery fleet operational decision criteria.

Compare Hirebase against vehicle telematics hardware and standalone time-tracking apps across stop arrival proof, dynamic route lists, transit telemetry, and fleet licensing.

Operational RequirementHirebase PlatformVehicle Telematics (Samsara, Geotab)Point Time Tracking Apps (Deputy, When I Work)
Stop Arrival & Proof of Physical Delivery
10m GPS geofencing, 1.5s live facial anti-spoofing, and disabled punch button until photo capture at each address.
~OBD-II/hardwired truck GPS proves vehicle was near curb; zero proof driver stepped out or who was driving.
Basic smartphone app with easily spoofed GPS coordinates, no facial anti-spoofing, and zero per-stop hazard sign-offs.
Dynamic Route List & Mid-Shift Dispatch Edits
Single daily Route List record holding multiple stops with dynamic pipeline editing, visit verification (Visited Yes/No), and timestamped Status Log.
~Dispatch routes stored in separate navigation units or paper manifests disconnected from driver payroll timesheets.
Standalone shift punch with no mid-shift stop additions, sequence reordering, or stop-level status tracking.
Enhanced Punch Routing Distance & Travel Telemetry
Automated reconciliation of actual transit time, traffic time, and distance between stops (raw GNSS distance & travel time, no mileage dollar reimbursement).
~High-frequency vehicle breadcrumb trails requiring manual export and reconciliation against external payroll systems.
Straight-line distance approximations or self-reported driver odometer readings prone to unearned padding.
Lone Worker Safety & Fleet Incident Defense
Structured 5-category incident records (employee, incident, medical/investigation, workers' comp DWC, injury) with 5 photo attachments + dispatch Call In/Call Out logging.
~G-force harsh braking or crash sensor alerts, but zero structured OSHA or workers' comp incident reporting workflow.
Unstructured plain-text notes field or external supervisor text messages with zero OSHA or workers' comp audit defensibility.
Fleet Software Cost Structure
Predictable flat enterprise licensing with zero per-driver monthly seat tax; add seasonal or peak delivery couriers with zero cost penalty.
~Expensive multi-year hardware leases ($30-$50/vehicle/mo) with proprietary installation and termination penalties.
Compounding per-user monthly seat tax ($4-$8/driver/mo) that escalates overhead when cycling through high-turnover driver rosters.

Stop Route Fraud & Unearned Overtime

10m geofence boundaries, facial anti-spoofing verification, and Enhanced Punch routing data ensure every paid hour reflects verified delivery stops.

Zero Per-Driver Headcount Tax

Scale delivery fleets across dozens of hubs during peak seasons without incurring escalating monthly per-user software fees.

Frequently asked questions about logistics fleet software.

Clear operational answers on how Hirebase eliminates phantom stops, manages mid-shift route edits, reconciles transit telemetry, and scales under flat licensing.

How does Hirebase eliminate phantom delivery stops and route time theft?

Hirebase requires drivers to authenticate at each delivery address through a 10-metre GPS geofence check and a 1.5-second live camera selfie with facial liveness and anti-spoofing verification. The arrival punch button remains physically disabled until the selfie is captured, preventing couriers from marking stops as completed while idling off-route.

Can dispatchers update delivery routes and add stops dynamically during an active shift?

Yes. The Route List maintains one record per driver per date, with stops tracked in an editable dynamic pipeline. Dispatchers can add stops, update delivery sequences, or adjust contact details mid-shift. Every change is logged with a timestamped status update, and drivers receive the updated itinerary as soon as the dispatch is published.

How does Hirebase track travel duration and distance between stops without calculating mileage reimbursement?

Hirebase's Enhanced Punch report calculates the actual routing distance, elapsed travel time, and traffic duration between sequential stops using real GNSS navigation coordinates. This data is strictly operational—raw distance and elapsed time only, with no dollar mileage reimbursement calculations—providing fleet managers with defensible transit telemetry to detect unearned overtime.

Does Hirebase charge monthly per-driver software subscription fees for delivery fleets?

No. Hirebase uses a flat enterprise licensing model with zero per-driver monthly seat fees. Delivery fleets, 3PL providers, and courier operations can scale seasonal rosters, onboard backup drivers, and handle peak holiday volumes without incurring escalating per-seat software penalties.
