Protect Healthcare Margins & Compliance
Across Multi-Facility Shifts.
Healthcare operations cannot afford uncertified caregivers or dropped shift coverage. Hirebase automatically verifies clinical dispatch by active licenses and certifications, while biometric geofencing verifies physical presence at every facility.
Every facility needs coverage. Every worker needs a current file.
A healthcare staffing operator isn't filling one shift at a time. Coverage has to hold across a fixed set of facilities simultaneously, and a worker can't be placed at any of them if their credentials, training or compliance documents have lapsed. Tracking that by hand, across sites, is where coverage quietly breaks.
A facility can refuse to accept a worker whose credential has lapsed, no matter how solid the headcount looks on paper. That makes credential currency the real coverage constraint, not the roster count.
Coverage and compliance are the same problem seen from two sides: a worker isn't really available unless their record is current too.
Onboarding & Training
A per-employee document repository holds I-9, W-4, background check and other verification documents, each with its own upload, plus configurable training requirements to verify readiness before activation for shifts.
Safety & Incident Management
Incident records organized into the categories an OSHA or workers'-compensation review actually asks for.
Time, Approvals & Payroll
Leave and PTO tracking alongside wage calculation, with every exception routed through an approval queue first.
A real per-employee document repository, not a shared folder.
Every document a facility can ask for lives on the worker's own record, each with its own working upload and a stored, timestamped record of who added it. It's the same repository that backs onboarding, applied here to keep a multi-site credential file current across every facility a worker is placed at.

Sexual Harassment Training
Automated training verification for facility readiness.
A worker who has registered and signed every document still has a training course to clear, including the Sexual Harassment Training that lives in the document repository. Hirebase can be configured to verify that training is passed before a worker is scheduled, so activation depends on automated workflow validation rather than on someone at a facility remembering to check.

Scheduling
Leave and PTO tracked the same way, every request.
A staffing operation that has to hold fixed coverage across facilities needs leave requests handled predictably, not chased down by phone. Pending, Approved, Rejected and Total counts sit on one dashboard, and a worker applies for leave through a dedicated request flow that shows a Leave Type, a live balance summary and an optional note before it's submitted.
Leave requests follow the same one-click approve, typed-reason reject pattern used across Hirebase's approval queues: fast when the request is fine, on record when it isn't.
Balance is shown in hours on the request itself, Available, Remaining and Pending, against the days a request spans, so a scheduler can see exactly what a request would leave open.
A rejected request carries a typed reason, not a silent no, so a worker knows why a request didn't clear before their next shift.
The same request and its status, including a rejection reason when there is one, is visible on the worker's own mobile app. Self-service, not a call to the office.

Compare Hirebase against shift marketplace platforms and standalone time-tracking apps across clinical credential gating, biometric presence, multi-facility dispatch, and licensing.
| Operational Requirement | Hirebase Platform | Marketplace Platforms (ShiftKey, CareRev) | Point Time Tracking Apps (Deputy, When I Work) |
|---|---|---|---|
| Clinical Credential Gating & Shift Dispatch | Automated readiness activation gate requiring 100% current credentials (RN/LPN license, CPR/BLS, I-9, W-4, scored compliance training) before shift assignment. | ~Marketplace controls worker files; agency has no direct visibility into primary source license verification or custom clinic policies. | Generic time clock with zero clinical credential checking; allows expired or uncertified personnel onto facility floors. |
| Biometric Presence & Physical Facility Geofencing | 10m GPS geofencing, 1.5s live facial anti-spoofing, and mandatory shift-start hazard Q&A on every punch. | ~Mobile check-in without rigorous anti-spoofing; susceptible to caregivers punching in from parking structures. | Basic smartphone app with easily spoofed GPS coordinates, no facial anti-spoofing, and zero clinical hazard sign-offs. |
| Multi-Facility Visual Dispatch & Coverage Preservation | Master Project View across multiple clinics/hospitals with 8 standardized shift statuses and mandatory anomaly notes. | ~Broadcast open shifts to unvetted gig pools without centralized roster control or direct supervisory oversight. | Fragmented shift calendars per location with no unified multi-facility roster or credential-aware dispatch. |
| Healthcare Incident Management & OSHA / Workers' Comp | Structured 5-category incident records (employee, incident, medical/investigation, workers' comp DWC, injury) with 5 photo attachments + dispatch audit trail. | ~Third-party marketplace disclaims liability; incidents must be resolved through customer service tickets. | Unstructured plain-text notes field or external supervisor text messages with zero OSHA or workers' comp audit defensibility. |
| Software Economics & Flat Healthcare Licensing | Predictable flat enterprise licensing with zero per-caregiver monthly seat tax; maintain large per-diem and PRN rosters with zero cost penalty. | ~Punitive transaction fees (15%-25% per-shift placement cut) that erode clinical operating margins. | Compounding per-user monthly seat tax ($4-$8/caregiver/mo) that penalizes maintaining large PRN and per-diem rosters. |
Prevent Regulatory Fines & Credential Lapses
Automated readiness verification blocks caregivers with expiring clinical licenses from being placed on shifts, protecting facility accreditation.
Zero Per-Caregiver Headcount Tax
Maintain rosters of hundreds of per-diem, PRN, and travel nurses without incurring escalating monthly per-user software fees or marketplace commissions.
Frequently asked questions about healthcare clinical software.
Clear operational answers on how Hirebase enforces clinical credential gating, verifies biometric attendance, coordinates multi-facility leave, and delivers flat licensing.
How does Hirebase prevent uncertified or lapsed caregivers from being dispatched to healthcare shifts?
Hirebase enforces an automated clinical readiness gate. Before a caregiver can be assigned to a shift, the system verifies that all required credentials—including state nursing licenses, CPR/BLS certifications, I-9/W-4 documentation, and facility-specific compliance training courses—are uploaded, scored, and active. If a credential has expired, the worker cannot be scheduled.
How does biometric geofencing work for home health, hospice, and multi-facility clinical shifts?
Every punch requires a 10-metre GPS geofence check against the hospital, clinic, or patient residence address, paired with a 1.5-second live camera selfie verified with facial anti-spoofing algorithms. The punch button stays physically disabled until the selfie is verified, preventing caregivers from logging visits remotely.
Can healthcare operators track PTO, clinical leave, and shift coverage simultaneously across facilities?
Yes. Hirebase provides a dedicated leave and PTO dashboard that displays Available, Remaining, and Pending balance summaries. Schedulers approve requests with one click or provide a mandatory typed rejection reason, allowing dispatchers to instantly identify coverage holes and reassign qualified clinical staff.
Does Hirebase charge per-caregiver monthly subscription fees or placement cuts for per-diem staff?
No. Unlike healthcare staffing marketplaces that extract 15% to 25% commissions per shift or legacy software vendors that charge $4 to $8 per caregiver per month, Hirebase operates under a flat enterprise licensing model. Healthcare agencies and hospital systems can maintain hundreds of PRN nurses on call without escalating software costs.
